Candidate privacy notice

  • We collect information about you in order to provide you with the services you have requested from us, to comply with our contractual obligations and notify you of any changes to our services. The information we collect about you includes for example your name, address, email, work history and telephone number, and other information you may provide us with as part of any applications and/or interview or employee onboarding process. This may include marital status, details of qualifications you hold, nationality, citizenship, place of birth, emergency contact, details of dependants/family, medical information, employment referees and references, right to work documentation, immigration status, identity documentation and/or bank details and financial information.

Staff Privacy Notice

Hitchenor Wakeford Limited (trading as HW Global), Hitchenor Wakeford Interim Limited (trading as HW Interim Solutions), HW People Limited (trading as HW People), HW Finance Limited (trading as HW Finance) (collectively referred to as “the Group”, “HW”, “we”, “us”,”our”) would like to make our employees aware of our policies relating to the processing and security of Personal Data in accordance with Data Protection Laws which includes the UK GDPR, the Data Protection Act 2018 and any other domestic legislation relating to the processing of Personal Data, as may be enacted and amended from time to time.

Personal Data

  • “Personal Data” means any information identifying an individual or information relating to an individual that can be identified (directly or indirectly) from that data alone or in combination with other identifiers which can be reasonably accessed.  
  • We will obtain a variety of Personal Data relating to you prior to and during the course of your employment with us which will be held in computer records and personnel files. This includes but is not limited to Personal Data which you supply to us during the application process for your job role including any information obtained directly from you such as your C.V and any ancillary information provided as part of your application and information obtained from third parties such as your referees or as part of pre-employment checks.
  • We will also obtain Personal Data relating to you during your employment such as your contact details, bank and pension details holiday and sickness records, salary reviews, remuneration and other records. Such Personal Data may be retained and used by us for the purposes of conducting appropriate checks, to ensure proper performance of our contract of employment with you and as otherwise reasonably required for our legitimate interests and compliance with applicable law. This information will form part of your personnel file.

Special Category Personal Data

  • “Special Category Personal Data” means information revealing racial or ethnic origin, political opinions, religious or similar beliefs, trade union membership, physical or mental health conditions, sexual life, sexual orientation, biometric or genetic data, and Personal Data relating to criminal offences and convictions.  
  • If we receive information regarding any medical condition, disability, or relating to your physical or mental health including information provided within return to work forms, meetings or in medical reports, we will only use this information for the purpose of providing any necessary adjustments in accordance with equality legislation, to ensure compliance with employment law, to monitor sickness absence and to inform decisions regarding your fitness for work.
